JOB SUMMARY As part of the office and administrative team, the Front Desk Coordinator is responsible for a variety of administrative and clerical tasks that support overall operations and customer service to our patients and clients. The activities include coordination of patient scheduling and customer service. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES · Answer phones so that phones are answered on the first or second ring · Prepare procedure packets ahead of time for both ASC class C and class B procedures · Download all Intake Q, new patient paperwork for the consultation visits, review and confirm the entered patient demographics match and scan in the chart as listed on the front office checklist sheet · Cancel patient appointments or procedures as needed · Scheduling both procedures and office visits as listed on the front office “Cheat Sheet” checklist · Maintain Call Logs and New Patient contact requests received by e-mail, phone, or faxes. Attempt to get these patients scheduled with up to 3 follow up calls placed · Call patients with any questions for clarification of insurance, demographics and referral status · Various other duties as assigned by management · Must have professional communication with patients, external customers, providers and representatives. · Dispersing Faxes to the appropriates staff members 4 times a day · Follow the Front Desk Guidelines as listed on the Front Desk Cheat Sheet CHECK IN · Check in patients on the day of appointments or procedures. · Verify insurance and make copies of required documents/cards as needed and upload into the chart when they check in at each visit · Keep connected with referral and authorization staff when appointment or information changes · Schedule patients for follow up appointments or procedures before leaving the practice if possible. · Review and verify patient demographics. Check, update and fix any errors. · Update the patient chart with updated information as needed · Collect copays and other patient payments as needed · Add any Injury dates and information to the chart as well as add attorney information to the attorney tab. · Send billing an e-mail for the patient’s PI notice. This prompts the billing department to reach out to the attorney CHECK OUT · Provide patient procedure and billing handouts upon checkout · May need to provide out of network cost information as described on the cash pay flow sheet · Submit Patient Choice IVR forms for commercial procedures and add the patient Choice logs · Schedule the patient procedure or advise of referral and follow up status · Scan the checkout order and IVR forms into the chart. PHYSICAL/MENTAL/ENVIRONMENT · Ability to withstand considerable walking, standing, sitting, bending, kneeling and stooping daily. Able to lift at least 40 pounds unassisted. Requires the ability to speak clearly, hear, read and write in English. Manual dexterity, standing or sitting for long periods is essential. · The Front Desk Coordinator must be able handle and cope with moderate to high of amount of job stress. Must be able to perform basic math functions, work under stress of deadlines, and multi-thought/multi-task processing and work. · Workspace includes patient care areas, office areas, and procedural areas. EQUIPMENT USED Equipment specific to the department and the employee’s responsibilities. Must be able to use computers, phones, copiers, and fax machines.
